How to issue my accounting reports?

Tracking your sales data is essential for the healthy growth and strategic planning of your business. To support you in this process, Hotmart provides two reports with detailed information about your revenue and commissions from sales, whether you’re a creator, cocreator, or affiliate. These reports are the Earnings and Expenses Report, Self-Billing Report and the Financial data report.

In this article, we’ll explain what information each report includes and how you can access them directly from your Hotmart account.

❯ Earnings and Expenses Report

The Earnings and Expenses Report provides a detailed view of all financial transactions in your account for the selected period, including Hotmart fees and payments made to affiliates and cocreators.

To generate the Earnings and Expenses Report, follow these steps:

1. Log in to your Hotmart account using this link: https://app.hotmart.com/.
2. In the left-side menu, select Reports.
3. In the search bar on the right, enter Earnings and Expenses.
4. Use the filter to set the desired period, year, and/or currency, then click Apply filters.
5. Click Export to PDF to download and save your report.

❯ Self Billing Report

The Self-Billing Report is exclusively for sales made under specific conditions, outlined in the table below. This report details the net revenue for creators during the selected period and currency, with operational costs, including Hotmart fees and payments to affiliates and cocreators, already deducted.

*Electronically Supplied Services (ESS), for tax purposes in the European Union, refer to services provided over the Internet or an automated electronic network that involve minimal human intervention (such as software downloads, online courses, or streaming services). All existing and new products will have ESS as the default setting. If you have any questions about defining the nature of your product, we recommend consulting your accountant or lawyer.

To generate the Self-Billing Report, follow these steps:

1. Log in to your Hotmart account using this link: https://app.hotmart.com/.
2. In the left-side menu, select Reports.
3. In the search bar on the right, enter Self-Billing.
4. Use the filter to set the desired period and currency, then click Apply filters.
5. Click Export to PDF to download and save your report.

❯ Financial Data Report

The Financial Data Report lets you track the financial details of your sales, whether you’re a creator, cocreator, or affiliate. The tool provides comprehensive information to help you maintain transparency and control over the transactions processed on Hotmart, based on the cocreation model you’ve chosen. To learn more about the available models, check this article (only in portuguese).

To generate the Financial Data Report, follow these steps:

1. Log in to your Hotmart account using this link: https://app.hotmart.com/.
2. In the left-side menu, select Reports.
3. In the search bar on the right, enter Financial data.
4. Select the pption that matches your Cocreation Model:
   1. Sales as a creator or cocreator in the business partner model: the data will be exported as a CSV file, including details such as buyer information, transaction details and status, purchase amount and currency, accounting amount and its corresponding currency.
   2. Sales as an affiliate or cocreator in the commission model: The CSV file will include the same information mentioned above (buyer details, transaction status, and amounts) but will also provide:
      1. Service payer: the person who paid the commission (the creator or cocreator who compensated the cocreator or affiliate for the contracted service).
      2. Accounting amount for the service payer: the commission's accounting value—how much the payer spent on each sale. If you issue invoices for your payers, use this amount (along with totals from the same payer during the period) to issue invoices for commissions received in that timeframe.
5. Set the desired period for the report..
6. Click Export to download the file in CSV format.

For all sales, Hotmart will issue a receipt for the fees charged, and you can use the Earnings and Expenses Report for your financial and tax management. We recommend consulting your accountant and reviewing this article to understand your tax responsibilities.
